1. What is a scope of work template?
A scope of work template is a structured, editable document that captures the details of a project, including its purpose, timeline, and deliverables. This document becomes a reference sheet for everyone involved —helping your team stay organised while ensuring clients have a clear understanding of the project.
2. Writing a scope of work template
A solid scope of work template is about making life easier for you and your clients. Ideally, all the information should fit within two pages. To begin, sit down and make sure you've got the following sorted:
The purpose
What's the purpose of the project? For example, if you’re installing a solar power system, specify the energy output or functionality expected upon completion. Be as specific as possible, noting exactly what you promise and what the customer expects removes any areas for confusion or argument at the end of the project.
Break down deliverables
List each task or output the client can expect. Be specific—for example, “Install plumbing in three bathrooms, including all fittings and fixtures."
Clarify roles and responsibilities
Ensure all parties know their role. For instance:
- Client: Provides site access and approvals.
- Business: Supplies materials and oversees project completion.
- Subcontractors: Include additional costs and limitations of subcontractors.
Create a realistic timeline
Set the start and finish dates and set milestones for critical stages, like material delivery or inspection points.
Set payment terms
Outline costs and how payments will be handled—such as deposits, progress payments, or full payment upon completion.
Include terms and conditions
Prepare for unexpected changes by outlining how variations or delays will be managed. Include any information about warranties here as well.
Sign
Finish with signature fields for all parties.
